Site Clerk / Site Administrator

Location: Dublin 13

Salary: €35,000–€45,000 (DOE)

Contract: Permanent

The role

Were hiring a Site Clerk to run the admin side of a live construction site. Youll be the person who keeps the paper trail straight: site diary, drawings, timesheets, deliveries, plant hire, safety files. If its not built or poured, it probably comes through you first.

On bigger jobs this work usually gets split between a document controller and a timekeeper. On this site, youll be doing both, and theres room to pick up junior QS support as you go.

What youll be doing

Records and documentation

  • Keeping the site diary up to date daily — weather, labour numbers, plant on site, visitors, delays, and anything significant. This is the record that gets pulled in delay and EOT claims, so it needs to be accurate and consistent.
  • Managing drawing revisions — logging updates, distributing current versions, archiving anything superseded.
  • Filing delivery dockets and GRNs, and matching them against orders and invoices.

Labour and time administration

  • Recording timesheets for direct and agency labour for payroll.
  • Maintaining the site induction register, and keeping Safe Pass, CSCS, and Manual Handling certs on file.
  • Signing subcontractors and agency workers in and out, and tracking headcount for the daily allocation sheet.

Materials and plant

  • Checking deliveries against dockets and flagging shortages or damage.
  • Keeping the plant register current — hire records, GA1/GA2 inspection certs, on/off-hire dates — so were not paying for idle kit.

Compliance and safety admin

  • Keeping the safety file in order — toolbox talk records, inspection sheets, F502s/AF2s where relevant.
  • Supporting RCT and subcontractor documentation (tax clearance, insurance certs).
  • Supporting BCAR record-keeping where it applies to the job.

General site office

  • Answering the site phone and handling correspondence.
  • Ordering consumables and PPE.
  • Preparing labour returns and cost allocation sheets for the site manager and QS.

What were looking for

  • Previous experience in a site clerk, document control, or timekeeper role on a construction site.
  • Comfortable with paperwork under pressure — this role matters most when things go wrong (delays, disputes, safety incidents), so accuracy and consistency count.
  • Organised, methodical, and able to work independently without much hand-holding.
  • Familiarity with plant hire administration and subcontractor documentation is a strong plus.
